1. Who we are
This privacy notice explains how Kimiyaa.ai ("Kimiyaa", "we", "us") handles personal information collected through this website (kimiyaa.ai) and any subdomain or page operated by us.

2. What information we collect
We collect a small, defined set of information — limited to what we need to evaluate a pilot conversation with your studio and to operate this website.
Information you provide
- Pilot application form: studio name, your role at the studio, studio size band, and your work email address.
- Direct correspondence: the contents of any email you send to us (e.g. info@kimiyaa.ai, info@kimiyaa.ai).
- Pilot scoping conversations: if your studio proceeds to a scoping call, we may collect additional technical information (such as a list of plugins, scripts, or scene complexity indicators) for the specific purpose of preparing a written compatibility note.
Information we collect automatically
- Standard server logs: IP address, user-agent, referring URL, requested page, timestamp. Held for the limited period required to operate and secure the site.
- Analytics, if enabled: if we use our analytics provider, where enabled, that provider may set cookies or process pseudonymous identifiers as described in their own privacy notice, linked from our cookie banner.
We do not currently process special-category / sensitive personal data through this website. We do not collect children's data; this site is not directed at users under 18.
3. Why we use it (purposes and lawful basis)
- To respond to your pilot application — to contact you, schedule a scoping call, and prepare written materials for your studio. Lawful basis (GDPR/UK GDPR): Article 6(1)(b) — necessary to take steps at your request prior to entering a contract; alternatively Article 6(1)(f) legitimate interest in operating our business. Under India's DPDP Act: processing for a specified purpose with notice; consent at point of submission.
- To operate, secure, and improve the website — including detecting abuse and monitoring uptime. Lawful basis: legitimate interest (Article 6(1)(f)).
- To comply with legal obligations — including responding to lawful requests from authorities. Lawful basis: Article 6(1)(c).
We do not use your information for advertising profiling, automated decision-making with legal effect, or for selling to third parties.
4. Who we share it with
We share personal information only with the following categories of recipient, and only to the extent necessary:
- Hosting and infrastructure providers — website hosting and infrastructure providers, email service provider (for receiving and replying to your application).
- Analytics provider, if enabled — our analytics provider, where enabled.
- Professional advisers — auditors, lawyers, accountants — bound by confidentiality.
- Authorities — where legally required.
Each of the above operates under a written contract or service agreement that requires them to handle personal information consistent with this notice and applicable law.
5. International transfers
If you are located in the European Economic Area, the United Kingdom, or another jurisdiction with data-export restrictions, please note that our processing operations may take place in India. Where we transfer personal information across borders we rely on appropriate safeguards, including, where applicable, the European Commission's Standard Contractual Clauses and any additional safeguards required by law. 6. How long we keep it
We retain pilot application information for 24 months from the date of submission, after which it is deleted or anonymised, unless a pilot agreement is in place (in which case retention is governed by that agreement). Server logs are retained for 90 days. Direct correspondence is retained for the period necessary to maintain a coherent record of our dealings with you, typically 36 months.
7. Your rights
Depending on your location, you may have the following rights regarding your personal information:
- Access — request a copy of the personal information we hold about you.
- Rectification — ask us to correct inaccurate or incomplete information.
- Erasure — ask us to delete your personal information, subject to legal exceptions.
- Objection / restriction — object to or restrict our processing in certain circumstances.
- Portability — receive your information in a portable format.
- Consent withdrawal — where processing is based on consent, withdraw it at any time.
- Complaint — lodge a complaint with your supervisory authority. In India, the Data Protection Board under the DPDP Act. In the EU, your national DPA. In the UK, the ICO.
To exercise any of these rights, contact privacy@kimiyaa.ai. We will respond within the period required by applicable law (one month under GDPR; statutory periods under DPDP).
8. Cookies
This site uses strictly necessary cookies and, where enabled, privacy-respecting analytics. A cookie banner provides granular control where required by law. You can also manage cookies in your browser settings.
9. Security
We apply technical and organisational measures appropriate to the limited nature of data we hold, including transport encryption (HTTPS), access controls, principle-of-least-privilege for staff access to applicant data, and standard hardening of hosting infrastructure. No internet-connected system is perfectly secure; if a personal-data breach occurs that is likely to result in risk to your rights, we will notify you and the appropriate authority within the timelines required by law.
10. Children
This website is not directed at children under 18. We do not knowingly collect personal information from children. If you believe we have, contact privacy@kimiyaa.ai and we will delete it.
11. Changes to this notice
If we make material changes to this notice we will update the "Last updated" date above and, where appropriate, notify pilot applicants by email. Substantive prior versions will remain available on request.
